1. Planning schedule
- Formulating work breakdown structure (WBS) which is generally understandable to anyone even if he is not familiar with the project
- Arranging employee training (training on tools, third party software, etc.)
- Determining milestones, major tasks and events in the WBS to complete project
- Following a documented project life cycle process to develop schedule
- Working collaboratively with the planning project team to estimate each task's duration and start & end dates
- Identifying sub-tasks in chronological order that are required to achieve each major task
- Identifying tasks that are dependent on the completion of other tasks
- Assigning resources to tasks
- Ensuring each resource allocated to a task has work hours assigned to them
- Evaluating overall project budget
- Comparing schedule estimation (cost, efforts and duration) with project estimation (based on expert judgment or approved estimation procedures)
- Documenting any assumptions and appointments in the schedule
- Taking into account time needed for meetings, vacations, holidays
- Facilitating the approval of the schedule by owners, customers and other key stakeholders
- Building a complete project schedule using a scheduling tool like VIP Task Manager
- Preparing project schedule for presentation
2. Tracking schedule
- Ensuring tasks are implemented in sequence
- Updating tasks attributes (due dates, actual time, etc) consistently with project schedule
- Collecting, analyzing and inserting data into the appropriate tracking fields (e.g., % complete, actual time, actual dates)
- Tracking task statuses periodically by responsible person or a group
- Analyzing metrics by affected group for decision-making process for corrective actions and re- scheduling
- Reviewing metrics periodically by senior project management
- Providing project sponsors and owners with metrics and project progress periodically for re-planning negotiation
